➜ New rules on had luggage import via IEC «Crocus Expo» foyer

Dear exhibitors of NMF-2023 forum.
In IEC «Crocus Expo» - has introduced new rules.
To assist with easy entry upon arrival we ask you for your attention in this matter.
From 1 December 2022 it is PROHIBITED to carry BOXES as hand luggage via IEC Crocus Expo.
What is considered as hand luggage – described paragraph 10 RULES OF STAYING ON THE TERRITORY IEC «CROCUS EXPO».
What does this actually mean:
You cannot enter the foyer with a box in your hands, security will not let you in
You can't attach a duct tape handle to a box and pass it off as hand luggage
BUT, YOU CAN:
If you put this box in a package, or a bag, or a suitcase that meets the dimensions of hand luggage declared at IEC Crocus Expo: 60х60х60 and not more than 20 kg, security WILL LET YOU THROUGH the foyer.
We ask you to prepare the necessary bags, packages, etc. in advance in order to avoid unpleasant moments at the check-in.

The rule clause has the following wording:
When passing through the entrance groups and magnetic frames to the pavilions, visitors can carry small hand luggage (mass – not more than 20 kg, size – not more than 60х60х60 cm, or by the sum of measurements – not more than 180 cm) available for inspection by employees of a private security company. Hand luggage includes: handbags, shopping bags, suitcases, backpacks, folders for papers, outerwear, umbrellas and canes, prams, wheelchairs for the disabled.

Items not related to hand luggage: equipment of any kind and purpose; items and details of furniture; boxes; packaging materials; objects and materials for decoration (banners, posters, balloons, plants and etc.); advertising structures; exhibited exhibits of any size, quantity and type of packaging are allowed to be carried only through the assembly gates in the areas of loading and unloading (accessed by vehicles with passes only).

➜ New rules for entering the loading and unloading area IEC «Crocus Expo»

Dear exhibitors of NMF-2023 forum.
From 23 December 2022 in Crocus Expo completely changed the system of access to the area of loading and unloading operations, pass system and pass prices.
Main changes:
1. 1 issued pass will ONLY be valid for a single entry into the area of loading and unloading.
This means - that each time a vehicle needs entry to the area of loading and unloading, you need to obtain a pass to be able to access the area. This applies any day of installation, forum or dismantling.
1 pass = 1 entry-exit to the area of loading and unloading
2. Due to changes - prices of 1 pass for 1 entry-exit to the area of loading and unloading:
Car – 2 000 rub (1 hour).
Truck – 3 500 rub (1 hour).
additional time for vehicle above the regulatory period (1 hour) can be purchased, 30 additional minutes - 1 000 rub.
3. Pass can ONLY be obtained at IEC Crocus Expo transport department in two ways:
Option 1: BEFORE EVENT – payment can be made by bank transfer. You can put your request to IEC Crocus Expo transport department via:

Option 2: ON SITE - for cash by check. You can request it from IEC Crocus Expo transport department of pavilion 1, on the stand, to the right side inside, after the entrance.

The procedure for importing & exporting exhibits onto the territory of IEC «Crocus Expo» -

Dear exhibitors of NMF-2024 forum.
We would like to draw your attention to the printed copies of the "Letter for the import and export of equipment and exhibits" (hereinafter - the Letter for import / export) are required for:

To be handed over to the security officer at the installation gate when removing equipment and exhibits (during dismantling)

For the security officer at the installation gate when importing equipment and exhibits (on installation days)

For submission to the department
of «Service center» (stand «Information & registration of services») upon receipt of a permit for import and export and a pass to the area of loading and unloading for carrying out import-export operations

➜ How to obtain a vehicle pass

You can obtain access to the area of loading and unloading operations with a vehicle ahead of time - by writing a simple email with details of vehicle attaching company details (for payments via bank transfer)and send it to «Service center» department. Alternatively you can put in a request at «Information & registration service» stand and pay with cash/card. Passes that are paid via bank transfer will be sent to your email address. Paper copy can also be obtained at Service center stand in Pavilion 1.

The pass is issued for one vehicle of one type only and provides a single entry/exit to the loading/unloading area, with strict following to standart regulatory period per vehicle type in the loading/unloading area

Standart regulatory period per vehicle type in the loading/unloading area are:

- for a car - 1 hour; (2 000 rub)
- for a cargo vehicle - 2 hours; (3 500 rub)
- for a car with a trailer – 2 hours. (3 500 rub)
For vehicles loading/unloading in areas of installation/dismantling for second floors, standart regulatory period is increased by 1 hour.
For every 30 minutes over standart regulatory time periods, additional fee of 1000 rub is charged.

To enter halls, forum participants must obtain badges according to pre-submitted lists.

Badges for forum participants can be obtained on Forum Registration stand from 9:00 to 19:00, 19 - 22 May 2023

The pavilion is located to the right of the VEGAS complex, immediately after the arch.
Passenger cars can be parked in the parking lot in front of the entrance to the pavilion, cargo vehicles – at the direction of traffic regulators.

Service Center can put stamp of approval on your 3 copies of letters for Import/Export of Equipment & Exhibits
One copy of the letter for Import/Export goes to Crocus Expo Service Center, second copy goes to Security when the equipment is imported, third copy is kept and needs to be given to Security when leaving the Forum

Look for signs for your Hall and follow instructions from traffic regulators.
When entering Checkpoint Control present your pass, with your vehicle's registration number written in it, to Security and follow directions.

Present to the Hall Security your letter for Import/Export of Equipment & Exhibits certified by the Directorate of the Forum and the Service Center and take to your booth.

ATTENTION: the time spent in the area of loading and unloading is LIMITED! The time restriction is indicated on your pass and is counted from the time of your arrival in the Loading/Unloading Area.
Fine is charged for exceeding the time restrictions.

For unloading, you need to proceed to loading/unloading area of Pavilion 1

If company is unable to complete all of the work during the installation time, display arrangement, design & etc. in time, indicated in Forum's installation period, company required to arrange additional installation time. Application for renewal is submitted to the Event Organisers office before 17:00 during each installation day. The cost of extending the installation time is determined by the IEC "Crocus Expo" rates. In case when EXHIBITORS exceed the times of installation time when using Exhibition area in excess of the specified time in the paragraph 2 in Contract of participation in the Forum and without Extended use of Exhibition Space
Exhibitor or Installer of the Exhibition area required to pay for extended use of the whole Exhibition area/Exhibition Stand area in the relevant Hall in the required order and at the stated rates, established by the IEC Crocus Expo.

Please obtain a stamp of approval on the "Import/Export of Exhibits" document, which was used during the Import into the Forum from Forum Directorates, then on the Service Center stand in Pavilion 1 (same procedure as with Import)

Export of exhibits from NMF 2024 Forum-

Prepare the pass for access to Import/Export area for the driver, which was used to enter the Forum and during Import. Please check the registration number of vehicle matches the number indicated on the pass.
Collect and pack your equipment and etc., take it to the Installation Gates, show Security letter with stamp of approval for Export from Forum Directorates

Exporting Exhibits.

1. Lifts & Installation Gates strictly open until 19:45.
2. When planning your arrival, please include possible delays due to traffic.
3. Don't forget your Letter of Import/Export for Equipment & Exhibits, Security will require it.
4. Don't leave your Pass for Import/Export Area with the driver after arrival and Import, same Pass is needed during Export.
5. To avoid incidents, Export your large Exhibits and Equipment only during 25 May.
